The North Dakota Natural Resources Trust (Trust) is seeking a highly motivated and organized Administrative/Communications Coordinator to join our mission-driven team. This role is central to ensuring our internal operations run smoothly while enhancing our communications and outreach efforts with partners, landowners, and the public.


The Trust is dedicated to promoting the retention, restoration, creation and wildlife friendly management of wetlands, grasslands and riparian areas by promoting practical conservation opportunities throughout North Dakota. We work in close collaboration with landowners, conservation, agriculture and energy partners and government agencies to achieve meaningful, long-lasting conservation outcomes.


The Administrative/Communications Coordinator supports daily administrative operations, board coordination, internal and external communications, and assists in program support and education efforts. The ideal candidate is detail-oriented, an excellent communicator, and comfortable working in a fast-paced, team-oriented environment.


Candidates must have a genuine interest in natural resource management and a commitment to caring for North Dakota’s land, air and water in a manner that enhances our quality of life and land stewardship legacy going forward.


This is a half-time position with a flexible work schedule negotiated with the selected candidate. The annual salary range is $30,500 to $46,800; actual salary will be negotiated commensurate with qualifications and experience. Other benefits include paid holidays, annual and sick leave, health insurance and employer retirement contribution, all prorated to reflect the part-time status, and access to an employee funded tax sheltered annuity. POSITION DESCRIPTION

ADMINISTRATIVE/COMMUNICATIONS COORDINATOR

Introduction to Position

The Administrative/Communications Coordinator provides essential support for day-to-day operations of the Trust. This position is responsible for administrative management, board coordination, internal and external communications, education efforts and optional involvement in conservation delivery. The role ensures internal processes run smoothly and that the Trust remains connected, organized, and visible to partners and the public.

The Trust needs a strong overall presence in the administrative role. The incumbent will need to be organized, efficient, and innovative, taking initiative in providing support to Trust staff, the board of directors and partner organizations for the Trust to run efficiently and fulfill its mission.

Examples of job responsibilities include, but are not limited to, the following:

Administrative Operations

  • Manage daily administrative functions, including answering phones, handling mail, and maintaining records.
  • Maintain Trust digital and hard copy files; oversee records retention and purging.
  • Track and order office supplies and postage; maintain equipment inventory and service needs.
  • Assist in developing, maintaining, and implementing Trust policies and procedures.
  • Coordinate staff and board travel and lodging as needed.
  • Manage the Trust conference room schedule, invoices, and room maintenance.
  • Assist in developing and implementing training opportunities for staff.
  • Maintain working knowledge of word processing, spreadsheet, graphics, and communications software.

Board of Directors Support

  • Manage logistics and communication for Board of Directors meetings.
  • Prepare meeting agenda and materials, coordinating with Board Chair and Executive Director
  • Take and prepare minutes; track Board actions, and communicate actions to the Board
  • Assist with new Board member onboarding and term renewals
  • Support meeting AV needs, meeting notices, meal arrangements, and field trips.
  • Post monthly staff activity reports, financials, board materials, newsletters, and annual reports for Board member review

Program Support

  • Lead the Small Grant Program, including RFP coordination, contracts, and follow-up.
  • Assist with drafting letters, proofreading, and formatting reports and documents.
  • Help organize Trust-related events and support partner-led events and outreach efforts.
  • Support writing and reporting for grants and partner agreements.
  • Assist in planning, coordinating, and implementing habitat restoration and conservation programs.
  • Represent the Trust with partners, landowners, and stakeholders.

Communications

  • Maintain and update the Trust website and Facebook page.
  • Create flyers, exhibit displays, and outreach materials to support program visibility and public engagement.
  • Help develop consistent branding and communication tools across Trust platforms.

Required Qualifications

  • Four-year degree in a relevant field of study
  • Extensive administrative and/or office coordination experience.
  • Strong writing, proofreading, and document management skills.
  • Proficiency in Microsoft Office Suite; comfort with file sharing, document collaboration, and data organization.
  • Familiarity with website and social media management.
  • Ability to work independently, manage time, and support a mission-driven team.
  • Strong interpersonal skills and comfort communicating with staff, conservation partners and landowners.

Preferred Skills

  • Conservation organization experience.
  • Familiarity with AV and hybrid meeting tools.
  • Graphic design or branding skills (e.g., Canva, Adobe Creative Suite).
  • Experience in grant writing or program delivery.
  • Interest in conservation education or youth outreach.
  • Knowledge and understanding of wetland and grassland conservation practices.
